What to Include in Your Own Ensemble Contract: Band or Orchestra or Choir Contract!

You all. If you don’t have an ensemble contract yet, TRUST ME… You NEED to make this happen ASAP. An ensemble contract not only adds legitimacy and professionalism to your program, but it will CYB (Cover Your Butt) more times than I can possibly tell you! Hit stop, drop, and create this ensemble contract! See the items I have included in my own ensemble contracts. What extras would you add?

Program Expectations: Outline general expectations for behavior, respect for peers and directors, participation in rehearsals, and performances. (Short nails for string players, bringing instrument and music to school every day, etc.)


Attendance Policy: Clearly state the attendance requirements for rehearsals, performances, and any extra activities. Include consequences for unexcused absences.


Practice Requirements: Set expectations for at-home practice, including frequency and duration.


Performance Dress Code: Detail the dress code for performances, including uniforms, shoes, and any other required items.


Instrument Care: Include guidelines for proper care of school-owned and personal instruments, along with responsibilities for repair or replacement in case of damage.


Grading Policy: If applicable, explain how participation, performance, and other elements factor into grading.


Financial Obligations: List any costs associated with the program, such as uniform fees, instrument rentals, trip costs, or other related expenses.


Communication Policy: Outline how and when information will be communicated (e.g., through email, newsletters, or a specific platform like MuseClass) and what kind of response is expected.


Parental Involvement: Encourage and outline ways in which parents can support the program, whether through volunteering, attending performances, or assisting with fundraising efforts.


Consent and Acknowledgment: Include a section for both students and parents to sign, acknowledging that they have read, understood, and agree to the terms of the contract.


P.S. - Be sure to also include consent for photo/video usage. This is especially helpful if you will be posting on social media or on your school’s website! Many schools already do this, but even more still don’t do it…
